Player Registration

All those who are to be registered to play County League cricket need must be named in your club's play-cricket database, and must be allocated to at least one squad of a team that plays in the County League. (It helps, when filling in scorecards after a match, if players are in the correct squad. They can be in more than one squad.)

Note that your play-cricket player database can, of course, contain players who are NOT eligible to play in County League games; but they must not then appear in any of your County League team squads. For example Dan Cave of Painswick C.C. sometimes plays for my club, Upton St Leonards, on Sundays, so he is in our player database and appears in our Sunday XI squad, but NOT in our 1st XI or 2nd XI squad.

Edit your club's play-cricket player database

How?

Log in to your club's play-cricket site and click on "Admin". In the Admin Home page that comes up, click on "Club Members" and then on "Member Database". You will see a screen like
 

To see all those allocated to a County League squad, go to the Search box above the table, in the screen pictured above. In the Role line, click on the arrow on the right and then select "Squad Players". On the Sub Role line select the squad you want to see and click on "search".

Download the database to a file on your computer

How?

From the Admin Home page, click on "Club Members" and then on "Mass Database Download"
(You may then get a screen showing the download being prepared - click on "click here to continue")
You should then see a screen like:
 

Click on "download as csv" and on the next screen, click on "download csv file". A pop-up will appear:
 

Click on "Save". You then see another pop-up:
 

Choose a directory into which you want the file will be downloaded on the "Save in" line at the top.
In the "File Name" box at the bottom, type in a name that will show us this is your club, followed by .csv
In the "Save as type" box, click on the arrow at the right and select "All files".
Your pop-up should now look like:
 

Click on "Save". You now have the file on your computer

In a quirk of the "play-cricket" system, I have sometimes noted (e.g. happens to me when I use Firefox and not Internet Explorer as my browser) you do not see the last pop-up illustrated above and the file is simply downloaded without giving you the chance to change its name or place it in a location of your choice . If it does happen, it will arrive somewhere on your computer with the name "databaseDownload.asp". You need to find it and rename it, e.g. to "myclub players.csv" and place it where you want it!

Send the file to us

How?

Send an e-mail to playerregister@gccl.org.uk with the downloaded file as an attachment.

But before you send it you may like to examine and edit it. Find it and open it. As long as you renamed the file so the last part of the name is ".csv" it will open as an Excel spreadsheet. You can send us the file untouched to complete your player registration, if you wish. But you may note that we only need the columns headed:
    First Name
    Surname
    Postcode
    1st XI Squad
    2nd XI Squad
    etc for each team in the county league
(the above assumes it is your 1st XI and 2nd XI that play in the County League)
You may delete any or all the other columns before sending the file to us. People who play in County League games must be "active" in the squad of one of your county league teams (it does't matter which squad if you have more than one). You may delete any lines containing players who do not appear as active County League team squad players.

The names in the file you send us, who are "active" in one of your County League team squads, are the players you have registered to play for your club in County League games.

We have asked for the player's postcode. We want some means of distinguishing between players with the same name, and propose to use that field. However we recognise, as in the examples shown here for my club, that the field is unlikely to be filled in at the moment. In later years, if this scheme is a success, we will ask that the postcode is filled in.

The figure below shows what the screen looked like after I edited the downloaded file as an Excel spreadsheet and deleted the columns not required. You can see players 'active' in either or both of our 1st and 2nd XI squads. These will be registered to play County League cricket when I send this file in. There are other names not active in either squad . They are NOT registered to play County League cricket (I could have deleted those lines before sending the file to playerregister@gccl.org.uk).

DATA PROTECTION: The data sent to us in this way is ONLY for the purposes of player registration and checking that those who play are registered. It will be held by an officer of the League and will not distributed further for any reason, and will not be used for any other purposes.

Late Registration

During the season you will, doubtless, wish to register new players. Add their names to the play-cricket database and add them to the team squad as explained above, download the database and send it to us in exactly the way described above. Don't send just one name - send the whole file with all your registered players plus the new player.

Remember that you must register new players by midnight on the Wednesday following their first game for you.

The person filling in the scoresheets on play-cricket after a game will easily spot unregistered players, because they will be unable to find the name in the squad(s) which are displayed for selection when player names are entered. Once you have added a new player to the squad, who has played a game, please return to the data for the game and amend the scorecard.
